The main responsibility of the Admin Support will be around vendor management, procurement, and Account team support as per the CBRE guidelines.

Admin Support to provide direction and guidance to the third vendor vendors and making sure the Account team are fully supported when it comes to sourcing / managing third party vendors and Account team support in different day to day activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • JH to make sure in coordination with CBRE sourcing team to have vendors onboarded for the different Facilities Management services requirement on the Account
  • JH to make sure rates are negotiated in the annual contract renewal stages and in the day to day quotations / proposals stage as well
  • JH to make sure Vendor Banking Details change request are processed on a timely manner in coordination with Finance and sourcing team
  • JH to make sure all the payment / invoicing communication happens on a timely manner
  • JH to follow the CBRE vendor / sourcing guidelines during the vendor support process
  • JH to provide any other vendor related support on any CBRE / client portals / systems
  • JH will have to assist the team in PO creation on CBRE and client portals
  • JH will have to train and guide vendors on CBRE PO creation tools ete.
  • JH will have to the main POC for all the CBRE staff on the Account and support them in their medical claim reimbursement from the medical insurance company
  • JH will make sure that all the digital / manual / paper-based documentation to be kept in a professional manner and to be the main POC for record / file keeping on the Account
  • Working knowledge of Health and Safety procedures and can implement these on site.
  • Establish and maintain a good working relationship with all CBRE Managed Services employees and clients’ representatives.
  • Maintain the professional image of CBRE Managed Services always and promote CBRE services.
  • Ensure that all CBRE subcontractors are appropriately supervised, and comply with contractual commitments, and site operating processes.
  • Promote and maintain the core Values of CBRE & the client.
  • Work on own and as part of a team
  • Improve site compliance and manage the site logbook system
  • Receiving client issues and resolving these issues effectively without disruption to business or compromising client relationships.
  • Be prepared for inclusion on a call out rota for out of hour's emergency response.
  • SUPERVISORY RESPONSIBILITIES Vendor ManagementMay participate in communicating new projects to employees under the direction of the Account lead and monitor tasks to shared supports.

    EDUCATION AND EXPERIENCE Must be University educated with degree in MBA / BBA / BCS / BE or any other relevant qualification.

    Facilities Management related qualification and experience will be a big plus. A minimum of 5 years of experience is required in a similar role and ideally in Facilities Management.

    CERTIFICATES AND / OR LICENSES Degree Educated / Facilities Management courses or certification will be ideal for the role COMMUNICATION SKILLS Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.

    Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and / or supervisor.

    Ability to effectively present information to an internal department and / or large groups of employees. FINANCIAL KNOWLEDGE Any experience or knowledge in Finance will be a big plus to be shortlisted in this role.

    REASONING ABILITY Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations.

    Requires basic analytical skills. OTHER SKILLS AND / OR ABILITIES Microsoft Office Suite having very good hands-on experience on MS Excel, PPT and windows.

    SCOPE OF RESPONSIBILITY Decisions made with general understanding of procedures and company policies to achieve set results and deadlines.

    Errors in judgment may cause short-term impact to co-workers and supervisor
