Duties and Responsibilities

Summary of Functions :

Key Functions of Operations Management Team Associate will include the following areas :

  • Secretariat services to OMT and its Working Groups
  • Administrative and logistical support to OMT and its working groups
  • Management of financial matters of OMT and its working groups
  • Coordination with UN agencies and other stakeholders
  • Ensures efficient administrative, operational and logistical support to RC Office towards effective coordination of Delivering as One programme implementation by undertaking following activities :

  • Plan calendar of OMT meeting for the year in consultation with the Chair of OMT.
  • Preparation of briefing packs and minutes for the OMT meetings, workshops and retreats
  • Preparation of presentation, briefing material and talking points for OMT Chair.
  • Coordination and consolidation on annual workplan of OMT.
  • Coordinate with working groups of Operations Management team for effective and efficient working and BOS implementation
  • Provision of assistance for development of new Business Operations Strategy including coordination of ToRs and hiring of consultant.
  • Coordination with working groups to ensure minutes of WG meetings and supporting documents are uploaded on yammer for record and ready reference.
  • Coordinate with WG on finalization and issuance of memos e.g. harmonized DSA rates, R&R, UN Holiday calendar, and other circulars etc.,
  • Process payments related to activities that are covered under OMT annual workplan.
  • Follow-up with relevant agencies for timely transfer of apportioned share of OMT budget.
  • Coordination with WGs for quarterly report on progress against approved workplans, budget & expenditure
  • Keep record of attendance sheets of meetings of OMT and its sub-working groups.
  • Ensure full compliance of administrative activities with UN rules, regulations, policies and strategies.
  • Coordination with relevant units of UN agencies for settlement of financial transactions.
  • Assist in planning and tracking of common services budget and of Agencies contributions to the Common Services Account.
  • Undertake any other activity assigned by the OMT Chair and Team Leader at RCO.

    Required Skills and Experience

    Education :

    Secondary Education, University degree in Business or Public Administration, Economics, Political or Social Sciences would be preferable, but it is not a requirement.

    Experience :

  • 6 year of professional experience in operations management, finance and administration and logistics management; Proficiency in the use of information technology (word processing, PowerPoint presentations, spreadsheets and data management), while being well conversant with the internet / intranet environment
  • An ability to work harmoniously and effectively as part of a well-coordinated team with people of varied backgrounds, including gender sensitivity;
  • Excellent knowledge of spoken and written English, with good analytical and communication skills;
  • Experience in ATLAS will be considered as an added asset, but is not essential;
  • Language Requirements :

    Fluency in English (written and spoken) is required
