Terms of Reference (TORs) Programme Interns

DAI - Tabeer- Consolidating Democracy in Pakistan (CDIP) Programme

Objective and rationale

DAI-Tabeer’s Output-1 is supporting Election Commission of Pakistan in making the election management and oversight processes more credible, transparent and inclusive, contributing to the overall objective of consolidating democracy in the country.

DAI-Tabeer is providing technical assistance to the ECP in key areas including a gender review of electoral processes, enhancement of the Federal Election Academy and development of the Commission’s third five-

year strategic plan as workplan activities.

DAI-Tabeer is now also co-chair of the ECP’s Gender and Disability Electoral Working Group (GDEWG) and is responsible for secretarial and logistical arrangements for the group activities.

In addition, the programme is supporting the Commission in other areas such as institutionalization of a training monitoring software and the finalization and launch of an Urdu website.

Output-1 will hire three Programme Interns who will be responsible for providing administrative and program support to the team in the implementation of all activities.

Scope of Work and Responsibilities

Responsibilities of the programme interns will include but are not limited to the following :

  • Making logistical arrangements for events including scheduling meetings, workshops, conferences, round tables etc., making travel arrangements for participants, providing on site support, coordinating with the operations team for reservations, and taking meeting minutes;
  • Assuming overall responsibility for general administrative tasks, such as registry and maintenance of program filing system;
  • Assisting the programme team in implementing programme activities including data collection and data entry;
  • Copy-editing and formatting documents for internal and external use;
  • Providing secretarial support to the management, as and when necessary;
  • Performing all other duties assigned by the supervisor and Team Leader.
  • Key Deliverables

    The following key deliverables will be expected from the programme interns :

  • Timely and seamless logistical arrangements for the events
  • Assistance to the programme team in administrative matters
  • Assistance to the programme team in implementing program activities including data collection and data entry etc.
  • Resource Requirement

    i) Brief Profile of Shortlisted / Recommended Programme Interns

  • Bachelor degree in social sciences, business administration or related fields;
  • At least 1 year of experience in administrative work, preferably in international organization;
  • Self-motivated and availability to work under the pressure;
  • Flexible and willing to travel as required;
  • Good Communication skills in English, including inter-personal;
  • Highly motivated and experienced in coordinating, planning and organizing events;
  • Good administration, organizational, team work and time management skills and possess a positive attitude and work well with others;
  • Good knowledge of Word, Outlook, Internet Explorer, Excel and IT tools is necessary;
  • Timing and Conduct of Work

    The programme interns will be hired for a period of four months starting from December 15, 2018.

    Reporting

    The programme interns will report to Electoral Capacity Specialist.

    Place of Work

    The interns will be based in Islamabad with possible nationwide travel.
